Team roles, invites and the activity log

What an Owner, Admin and Member can do, how to invite, remove and hand over, and where to see who changed what.

There is always exactly one owner. Everyone can leave the workspace themselves, except the owner, who must hand over first.

Inviting people

On the Team page, type an email and pick Member or (owners only) Admin. They get a link that works for seven days and only for that email address. Beside a pending invite you can Resend (a fresh link and a fresh seven days; the old link stops working) or Withdraw it.

Removing, leaving and handing over

  • Remove takes someone's access away at once. Their templates stay with the workspace and move to the owner, so campaigns that use them keep working.
  • Leave workspace does the same for yourself and signs you out.
  • Hand over ownership makes someone else the owner and you an admin. You must type the workspace's name to confirm, and only the new owner can undo it.

The activity log

Settings → Activity (owners and admins) lists who did what and when: campaigns sent, stopped or copied, templates changed or restored, mailboxes added, imports, do-not-email changes, team changes and settings. Filter by area or by person.

What it does not record

It starts from when this was switched on and records the main changes, not every click. Emails a campaign sends are in the campaign's own run pages, not here.

If something looks wrong

  • "This invite was sent to a different email address": the person must sign in with the exact email the invite went to.
  • "Only the owner can change roles": ask the owner, or ask them to hand over ownership.
  • "The owner can't be removed": hand over ownership first.
  • An invite link says expired or used: resend it. Withdrawn invites can't be reused; send a new one.
  • I can't see Activity in Settings: it is for owners and admins only.
  • Someone's name shows as "someone who has left": they were removed or deleted their account after making that change.
