Sending rules: cool-down and one campaign at a time

Workspace rules that stop the same person being emailed too often by different campaigns.

Owners and admins set these under Settings, Sending rules. They apply to every campaign in the workspace. Both are off until you switch them on.

Cool-down between campaigns

With a cool-down of, say, 7 days, nobody gets the first email of a campaign if another campaign emailed them in the last 7 days, or already has an email waiting for them. They are skipped with a note on the run page and on their contact page, saying which campaign and when.

Example

"October news" emailed Ana on Monday. On Thursday you start "Webinar invite" to a list she's on. With a 7-day cool-down she's skipped: "Cool-down: “October news” emailed them on 20 Oct". Everyone else gets it.

  • A campaign's own follow-ups are never held back by the cool-down: it only looks at other campaigns.
  • It is checked when the campaign is queued and again at the moment each first email is sent.
  • A skipped person isn't lost: they can get the campaign in a later run, or you can add them by hand once the cool-down has passed.

One campaign at a time

With this on, someone still part-way through another campaign's follow-ups doesn't start a new campaign. Someone is done with a campaign when they reply, when they have had its last follow-up, or a week after their next follow-up was due.

If someone was skipped and you didn't expect it

  • Open the run page or the person's contact page: the reason names the other campaign.
  • Lower or switch off the cool-down under Settings, Sending rules, then add them to the campaign from its page.
